Field note

I chased a £40k retention for two years. So I built the ledger that never loses it.

Everyone agreed I was owed it. Nobody released it — it sat in someone's spreadsheet for twenty-four months. So the held figure, the practical-completion date and the defects date live in the ledger now: flagged, dated, and auto-raised on release. It doesn't get forgotten, because I'm not living that again.

Why it costs £15, not £150.

What you're not paying for.

The big accounting products price per tier, per feature, per transaction. We don't.

How the rest rack it up.
  • Per-tier feature paywalls.
CIS on the £42 tier. Bank feeds on the £30 tier. Want both? £50.
  • £25/mo for OCR. £29/mo for approvals.
Bolt-ons because the base product is threadbare.
  • No Construction Act timer.
You're on your own counting Pay-Less Notice deadlines.
  • CIS handled, sort of.
You enter it, the software prints it. You still file CIS300 separately.
  • Per-transaction payment fees.
Every supplier payment is a tax.
  • "Construction" ERPs cost £20k+/year.
    Eque2, RedSky, Sicon — quote-only, 3-year contracts.
That's us.
How InvoLynx does it.
  • Every feature, every seat, every month.
No tier paywalls. CIS, AfP, PLN, retention, subbie portal — in for £15/user.
  • OCR + approvals included from day one.
The AI reads bills, auto-codes them, routes for sign-off. No bolt-on.
  • Construction Act clock. Built in.
PLN due, final date, response window — counted, alerted, drafted.
  • CIS, verified and filed from one screen.
Verify subbies, deduct on labour, generate the CIS300 and statements in-app. Direct-to-Gateway filing is sandbox-tested, sign-off pending.
  • Free B2B payments via Crezco.
Open Banking transfers ≤£25K cost £0. Real money saved.
  • Same software a sole trader uses, scaled to your team.
Start free for 30 days. Then £15 per user when you grow. That's the menu. No 12-month contract.
Field note

I've sat on the wrong end of a Pay-Less Notice that landed a day late — and still got argued with.

Under the Construction Act, miss the Pay-Less date and you owe the notified sum in full. The Act doesn't care that you were busy. So the clock counts the days for you — the s.110A and s.111 dates per contract, alerts at T-7, T-3 and T-1, and a draft notice ready to review and sign. You don't miss it, because I have.

Subcontractor ledger · Contract sums + AfP auto-totals.

Treats subs like a construction firm actually does.

Each subcontractor has a contract — original sum, signed variations, agreed retention %. Every application shows: gross applied, less previous valuations, less retention, less CIS — all auto-calculated, visible to both sides. Xero treats subs as generic suppliers; we don't.

  • Original sum + variation register + retention all visible per sub.
  • Application maths auto-totalled — gross, retention, CIS, net certified.
  • Same retention object shared with the sub — no reconciliation arguments.

Field note

I file a CIS300 every single month. The big tools make you do it twice.

Once in their software, once on the Government Gateway. That's the bit I refused to keep living with — verify the subbie, deduct on labour, generate the statement and roll every sub into one monthly return, from one screen. Direct-to-Gateway filing is built and sandbox-tested; it flips on the day HMRC signs off.

Snap a bill. Walk away. It's filed.

Photograph a supplier bill. The AI reads it, auto-codes the GL, applies VAT and DRC treatment, applies CIS on subbie labour lines, routes for approval. Above 95% confidence, it skips human review. Construction-aware: knows the difference between a builder's merchant statement, a labour invoice, and a plant hire docket.

  • Builder's merchant monthly statements auto-reconciled to receipts.
  • CIS-aware on labour vs materials splits — no manual workaround.
  • GPS-tagged receipts auto-assigned to the nearest CostLynx project.
